Complete scenario rehearsal
You are preparing a monthly register. A paper form shows telephone 6123 4809, the spreadsheet shows 6123 4808, and the form’s date is unclear. The spreadsheet total is one lower than the forms received. How would you resolve this before sending the report?

Reveal the worked response
I would first confirm that the forms and spreadsheet cover the same reporting period and use the same case-reference list. I would count the forms, compare each unique reference against the register and identify the missing entry rather than changing the total. For the telephone mismatch, I would check the source document and follow the office’s clarification procedure; I would not choose a number based on appearance. I would flag the unclear date for the responsible person because it may affect the reporting period. I would check any spreadsheet formula and range, ensure the full table is sorted together and clear filters before recounting. I would tell the report owner that the total is under verification and identify the unresolved date and contact mismatch. I would send a confirmed figure only after the source records reconcile, or ask whether a clearly labelled provisional figure is acceptable. This keeps personal data protected and prevents uncertain entries from being circulated as facts.
