Complete scenario rehearsal
A period-end review shows a hypothetical supplier invoice for HK$12,600 may have been entered twice. One entry is paid; the other remains in the payment queue. The supporting files have similar invoice references, and the deadline is today. How would you respond?

Reveal the worked response
I would first pause the unpaid item through the approved workflow if my access permits, while avoiding any attempt to reverse or delete a posted transaction without authority. I would compare the original invoice, purchase or service evidence, supplier reference, amount, approval record, ledger entries and payment status. I would record which identifiers match and which differ, retain the source files, and tell the designated reviewer that a possible duplicate is pending against today’s deadline. I would ask the reviewer to confirm the appropriate hold or correction under the organisation’s controls, then document the decision and update the reconciliation only when supported. I would also check whether the same reference appears elsewhere in the period and report the result. This protects the payment process while keeping the evidence and decision with the authorised officer.
Try the follow-up questions
- What evidence would help distinguish a duplicate from two legitimate invoices?
- How would you explain the urgency without pressuring the reviewer to skip a control?
Check your answer
- Did I identify evidence before proposing an adjustment?
- Did I separate actions within my authority from decisions requiring approval?
- Did I specify a record, owner and follow-up?
