Complete scenario rehearsal
A fictional visitor says they received conflicting appointment information and asks you to confirm which date is correct. The record available to you shows two dates and no recent update. How would you respond?
Say your own answer before opening the example.
Reveal the worked response
I would acknowledge that receiving two dates is confusing and ask the visitor to explain what each communication said. I would distinguish their account from what I can verify: the record in front of me contains two dates and no recent update, so I cannot confirm which one is current. I would avoid guessing, changing the record or promising an appointment outcome. I would identify the appropriate appointment team or responsible colleague, pass on the relevant details through the authorised channel and ask for clarification. I would tell the visitor what step I can take and, where appropriate, how they can receive the verified answer. If the responsible team provides an update, I would relay it accurately and check that it answers the question. I would handle personal details discreetly and follow the employer’s local process. My response would focus on respectful communication and a reliable handover; any clinical assessment or care decision belongs with the responsible clinical professional and applicable procedure.
